Best Character Tracking Tools for Writers
In a large cast, mixing up eye color, age or who's related to whom is one of the mistakes readers notice fastest. There's no single right way to track characters; the approach depends on how big your cast is and how connected your characters are. This list compares four common approaches.
How we evaluated
We looked at three criteria: (1) can you reach everything about a character in one place, (2) can you see the relationships between characters, locations and organizations, (3) how much effort it takes to stay organized as the cast grows. We don't list prices because they change over time.
1. A character document (Word, Google Docs)
A section or separate document per character is the fastest start and needs no extra tool. It works well for a small cast. As the cast grows, information scatters; you have to update relationships on both sides by hand and scan documents to see where a character is mentioned.
2. A spreadsheet (Excel, Google Sheets)
Each row a character, each column a trait: age, eye color, hometown. It's easy to compare and filter, and good for consistency checks. But long text (backstory, motivation) doesn't fit well in cells, and relationships are hard to show.
3. General note apps (like Notion or Obsidian)
Flexible: you create character pages and link them. In Notion you build the databases and relations yourself, in Obsidian the linking structure. Powerful, but designing and maintaining the structure is up to you.
4. yazar.io
The Characters section is ready to go: each character has its own page, ready-made profile fields and any custom fields you add. When you connect a character to organizations, locations and other characters, those links appear on both sides automatically; typing @Name in any text is enough. Family ties are built with drag and drop in the Family Tree. You can choose which fields appear on cards and add multiple images to each character. The trade-off: yazar.io isn't for writing the manuscript; you keep writing in Word or Docs.
At how many characters should I switch to a dedicated tool?
There's no exact number. A good sign is when you start struggling to remember relationships and where each character appears; starting early helps, especially for a series.
Can I customize character information in yazar.io?
Yes. You don't have to use the ready-made profile fields; you can add your own fields and choose a field template for each book.
How many characters can I create on the free plan?
On the free plan you can create 15 character records per book; Yazar Pro removes this limit.
